Introduction to Appraisal

A quick overview on how to start using Payboy Appraisal module

Appraisal module can be found on the sidebar


Step 1: Create a new Appraisal Template

To create an appraisal template, please click on the New template, which can be found on the left sidebar > Appraisal > New Template.

Please fill in the Name of the template and Description.

After which, please tick on the options, if you would like the employee and/or reviewer to be able to view the appraisal after submitting.

For the Header Options, you may select the fields (employees’ information) that you want to show in the appraisal template.

For the Body Options, please drag the options that you want to include in your appraisal and drop them in the section area to format your appraisal form.

For the Footer Options, you may select ‘enable weightage’ if you would like to display the scores and weightage that the employee has achieved.

Please tick on Employee sign-off if you require the employee to sign off (this requires the employee's login details).

Once all the options have been selected and you have done formatting the appraisal template, please click the submit button.

If the appraisal template submission is successful, a green banner will appear. You may review how your template looks like on this page and may edit accordingly if necessary.


Step 2: Sending Appraisals to Employees & Reviewers

There are two methods to send appraisals to employees and reviewers.

1. Ad-hoc Appraisal
2. Appraisal Period

First Method: Ad-hoc Appraisal
Definition: You usually need to send it to one or two employees and reviewers for ad-hoc reasons such as confirmation of probation

a. Click on All Templates under Appraisal & click Send Appraisal.

b. Send the Appraisal by filling in all the fields required
c. You may find the appraisal in All Appraisal


Second Method: Appraisal Period
Definition: You are sending to all the employees in the company due to an appraisal period such as a company year-end performance review.

To create a new appraisal period, please click on New Appraisal Period, which can be found on the left sidebar > Appraisal > New Appraisal Period.

  • Enter the Name of the appraisal period (e.g. First Quarter, Second Quarter, etc.)

  • Select the Type of flow for the appraisal period.

    o Downward appraisal – one reviewer appraise multiple employees

    o Upward appraisal – Multiple reviewers appraise one employee

  • Select the Start Date, End Date for Employee and Appraisal Period end date.

    • This will enable email notifications for the employees

  • Click on the Submit button to create a new appraisal period.

Upon successful submission, you will be redirected to the details page of the new appraisal period.

Click Send New Appraisal on appraisal period details page.

  • Select Appraisal Template you want to use for the selected appraisal period

  • Select a Reviewer for the appraisal

  • Check the checkbox ‘Set as Private’ if you want the appraisal to be seen by only admins who have access.

  • From the list of employees, select the employees you want to send appraisal to.

  • Please click ‘Send appraisal’ once you have selected the employees.

Upon successful sending of appraisals, you will be redirected to the appraisal period page where you can view all the appraisals you have sent out for that appraisal period. You can choose to send different appraisal templates for the same appraisal period.


Step 3: Wait for Employees and Reviewers to complete the Appraisal


Here's a sneak peek of what the Employees go through.

1. Filling up the appraisal by employees

If you are logged in as an employee who was selected to send appraisal to, you will be able to see the appraisal form from the left sidebar > Appraisals.

You will see the list of appraisals that you can fill in. Click Fill Appraisal to fill out the appraisal form.

You will be redirected to a page with an appraisal form.

On this form page, you have to fill in the fields specified with Filled by Employee. If the field is specified with Filled by Reviewer, the field is disabled which means you cannot fill in or make changes to the field.

Please refer to the screenshots below on how a sample appraisal form would look like. The set of questions could be different based on how your company admin set the appraisal form.

At the bottom of the form, click “Save As Draft” to save the form as a draft and submit it later.

At the bottom of the form, click “Submit” to submit the form if you don’t need to make any amendments anymore.

If the Appraisal was successfully updated, a green banner will appear.

Here's a sneak peek of what the Reviewers go through.

1. Reviewing the Submitted Appraisal

If you are a manager/supervisor who has to review appraisals, click Review Appraisals from the left sidebar.

You will see “Fill Appraisal” under the Actions column if it is your turn to fill in the appraisal form.

Click “Fill Appraisal” to go to the appraisal form for you to fill in.

On this form page, you have to fill in the fields specified with Filled by Reviewers. If the field is specified with Filled by Employee, the field is disabled which means you cannot fill in or make changes to the field. You will also be able to see employee’s answers if they have filled up the appraisal form.

At the bottom of the form, click “Save As Draft” to save the form as a draft and submit it later.

At the bottom of the form, click “Submit” to submit the form if you don’t need to make any amendments anymore.

If the Appraisal was successfully updated, a green banner will appear.


As an Admin, you can also check their statuses from "All Appraisal Period" > View the Appraisal period > Under the Status column in the table.



Step 4: Generate a report on the appraisal results

In the sidebar menu, go to Reports > Appraisal Period.

You will see the list of appraisal periods. Click "Download Excel" to download the Excel report for the appraisal period.

After you have clicked "Download Excel", an excel will be downloaded to your downloads. Each sheet in the Excel represents the different appraisal templates. Each column in the sheet represents the different sections. Each row is the employee's score.


All Templates Tab

To be able to access/ review/ edit appraisal templates, please click on All templates, which can be found from the left sidebar > Appraisal > All Template.

In this page, you’ll be able to see all the templates that you have created.

  • If you want to view a template, please click on the view icon.

  • If you want to edit a template, please click on the edit icon.

  • If you want to delete a template that you have created, please click on the delete icon.

    • *Please take note that you may only delete or edit a template if it has never been sent out for appraisal. Once it has been sent out before, you may not edit on it unless you delete all the appraisals sent using the template. (under all Appraisal tab).

  • If you want to send an appraisal, you can choose the template that you want to send under all templates and click on Send Appraisal.

    • From here, you are able to send an appraisal without indicating an appraisal period.
