First of all, you would need to go to Employee > All Employee > Click the eye button on the employee's name > Click Entitlements.
The first number indicated in the screenshot shows the number of days they have left for each leave type entitlement.
The numbers after '/' indicate the number of days they are entitled to for an entire year if proration is applied.
Let's take a look at this example of an employee's leave balance, namely their Test leave and Annual Leave balances:
Test Leave: 11/11 (9+2)
Entitlement for the entire year or at present, if proration is applied = 9
No. of leaves left as of today = 11
Breakdown of leaves: (9+2)
Base entitlement for the year = 9
Leave adjustment made = +2
***Leave adjustment was made due to carry forward leave / manual adjustment done by the Manager/ Admin, negative adjustments mean a deduction (e.g. -2)
Annual Leave: 6.5/9.5
Entitlement for an entire year or at present, if proration is applied = 9.5
No. of leaves left as of today = 6.5
No. of days applied for (regardless of pending or approved status) = 9.5 - 6.5 = 2.5
Note: If you would like to adjust the leave balance, you can click the tool button,
Add the needed day's number accordingly in the Number of days field marked below before clicking submit.
Adjusting the days can also be done for deducting the current balance. You may add a '-' (minus) symbol before the number.
This is how it looks like from the Entitlements page after clicking the submit button
This is what it looks like from the Leave 2024 Report
Note: Sometimes, you might notice an expiration date listed for the leave type and leave balance adjustment in the 202x Report. The expiration date on the leave type stops employees from requesting leave after that date, while the leave balance adjustment is separate and affects how much leave they have available.
Let's see the example below for a better understanding:
The leave type expiry date is 31 December 2024
The leave adjustment expiry date is 1 February 2025
The employee will not be able to utilize the leave adjustment after 31 December 2024 as the leave type itself has expired. This is why we mostly suggest not putting any expiry date on the leave type when adding it to the employee's leave entitlement.
How to change Leave Type Expiry Date:
You need to head to the Employee’s profile > Entitlement > delete the leave type by clicking the delete button and ok button
Then, re-add it again by clicking the Add button
You can enter an expiry date if applicable, or leave it blank before clicking the "Create" button.
This is how it looks like after the Leave Type has been re-added into the employee's entitlement without keying in the expiry date
How to change Leave Adjustment Expiry Date:
You need to head to the employee’s profile > entitlement > click 202x report > click edit
and change the expiry date before clicking submit.
This is how it looks after the expiry date for the adjustment is changed on 2024 Report page
Note: You can edit the number of days, the year, and the reason anytime by clicking the Edit (pencil icon) button as needed.
