How do I set up QuickBooks Integration?

Find all the steps you need for integrating payroll with QuickBooks

Summary

Intuit QuickBooks Online is one of leading tools people use for accounting in Singapore.

Payboy provides a one way integration with QuickBooks Online. Once you enable this integration, every payroll generated will automatically create a Journal Entry to the account of your choice on QuickBooks Online.

Connecting to QuickBooks Online

Follow the steps below to have both your payroll and accounting suite set up on Payboy and Intuit QuickBooks:

  • From the side panel, select Settings > Integrations

  • Click on the Connect to Quickbooks button, and you will be redirected to its page where you can enter in the valid credentials

  • You will then be directed to a page where you need to set up the Account Mapping. Select the Accounts from the drop-down list

(Note: You need to set up Charts of Accounts on your Quickbooks account before you start this account mapping)

Synchronizing New Payroll Data

After you have integrated from the above steps, generate a payroll to have it automatically synchronized to QuickBooks Online for your accounting needs:

  1. Head to Payrolls > click on Generate Payroll

  2. Follow this guide on how to generate payroll of the month

  3. Once you have finalized your payroll of the month, click the sync button as shown in the screenshot

Verify Payroll Accounting Data

  1. Login to QuickBooks Online using the same account you connected

  2. Check that a new journal entry is created (there is a quick history link at the center top of your QuickBooks Online dashboard)

  3. Check that entries are matched to either existing on newly created employees by employee number

Synchronizing Existing Past/Old Payroll Data

Follow the steps below when you have past Payroll data in your Payboy account which you have not sync into Quickbooks:

  • Select Payroll > click All Payrolls from the side panel

  • Click the sync button on the payroll (as shown in the screenshot)

  • A green notification will appear on the top of the page that Payroll has been added successfully into your QuickBooks account
