How do I set up XERO Integration?

Find all the steps you need for integrating payroll with XERO

Payboy integration with Xero allows for direct connection with your Xero account. Payroll and claims can be synced and appear directly in your "Bills to pay" account.


For existing users, please skip ahead to step 4!


Step 1: Linking your Xero account to Payboy account
From the sidebar > Settings > Integration 

Click on "Connect" > You will be redirected to the Xero Login page > Login to the account that you would like to link to > Select the organisation you would like to link to

  • Click on the dropdown list to select the organisation.

  • Click on "Continue with 1 organisation".

You'll be redirected to the Payboy Xero Settings page.

Step 2: Set up mapping for the data
3 places to take note of:

  1. Bill Status --> The status of the bill when sent to Xero

  2. Bill Type --> Within the Bill sent to Xero, How would you like the information to be grouped by, employees or pay items. In this example, it is grouped by employees. You may refer to this Article for Manual Journal Export Type.

  3. Account Mapping --> The claim types and pay items in Payboy to be categorized into the relevant accounts in Xero (e.g. Medical Claim in Payboy to be sent to General expenses). 
    a. Every Bank account in Xero will have a code indicated:
    If you're unable to select your bank details under the Bank Account drop-down list, please take note that the 3 digits code have been created from your Xero Account.

Important Note: Ensure that all fields are filled for proper syncing.

On your Xero Account, Please ensure you have added your Bank Account Details under Chart of Accounts.

After you've added your bank account, please click on the chart of account and setup your chart of account code.

Indicate your account code shown below:

On your Payboy Account, please ensure you have select the correct Account Mapping.

Step 3: Generate Payroll + Generate GIRO files (skip this step if you have already done so)

Step 4: Sync to Xero
At the bottom right of the payroll, you will find a sync button for Xero.

You will be redirected to the following page:

Look for the organisation that you would like to sync to Xero, then click on the respective sync button on the right.


Wait for a few minutes, then refresh the page. The status should change from "Processing" to "Complete".

Step 5: Check your Xero Account
On your Xero Account, head over to "Bills to Pay". The synced organisation, will be further broken down by GIRO batches, individual cash and cheque payments.

You can check which GIRO batch by viewing the bill.

Important Note: If you re-sync your data, you will end up with duplicated bills. As such, please remember to delete the previous bills.
