Employee Username Feature

Learn how to create a username for your employee's account.

Introduction

As part of our commitment to complying with PDPC requirements regarding the use of NRIC and other identity numbers, we are introducing a new feature that allows all employees to use a username instead of their NRIC or identity number when signing in.

Starting from 1 January 2027, logging in with an NRIC or identity number will no longer be supported. We therefore encourage all active users to set up a username as soon as possible and use it to access the web portal.

At the moment, users accessing the Payboy mobile app will not be prompted to create or enter a username.

Please note that logging in with an email address will continue to be supported. However, we recommend that all users create a username of their choice for a more convenient login experience.

A. Setting Up A Username as An Employee

As an existing employee, if you have not yet set up a username, you will be prompted to create one the next time you log in to the web portal.

  1. Set a username of your choice under the "* Username" field.

    ❗ Username Requirements:

    • Must be at least 4 characters long

    • Contain only:

      • Letters (A–Z, a–z)

      • Numbers (0–9)

      • Periods (.)

      • Hyphens (-)

      • Underscores (_)

    Note: Usernames must follow the requirements listed above. Entering an email address will result in an error message.

  2. Click "Save Username" once you have chosen your username.

  3. Once you have set up your username, the next time you log in to the web portal, you can use either your email address or username.

Note: Login using your identity number will remain available until 31 December 2026.

B. Editing Your Username as An Employee

To edit your username:

  1. Log in to your account via the web portal.

  2. Click your profile picture in the top-right corner of the page, then select "View Profile".

  3. On your profile page, scroll down and click "Edit Profile".

  4. Under the "Username" field, enter your new username.

  5. Once you have updated the username, scroll to the bottom of the page and click "Submit" to save your changes.

Currently, username changes are not supported on the mobile app.

C. Setting Up A Username for your Employees as An Admin

If you are an Admin and would like to set up a username for an existing employee:

  1. Head to the employee's profile and select the Personal tab. Then, click "Edit" next to the Personal section.

  2. Enter the desired username in the "Username" field, then click "Submit" to save the changes.

Note: The username must meet the username requirements outlined above, including the minimum character length and permitted characters.
