How to Edit an Employee's Start Date and End Date

In some cases, employees may be onboarded or offboarded in the system with start or end dates that differ from what was originally intended. This can occur due to provisional information, administrative oversights, or other temporary factors.

Fortunately, Payboy offers a straightforward way to update these dates quickly and accurately. Below, we’ll guide you through the simple steps to make these adjustments efficiently.


How to Edit an Employee's Start Date

Suppose you have onboarded an employee and later realise that the start date entered is incorrect. You can follow the steps below to update and correct the start date.

  1. Navigate to Employees > All Employees > key in the employee name and click the eye icon on the right side. You will be able to see the page below:

  2. Click on the Employment Details tab, and scroll down until you see Career History information:

  3. Click the edit button beside the Start Date, and key in the correct start date accordingly:

  4. Click the Save button after you keyed in the correct date:

  5. This is what it looks like after you click save:

Note: The "Edit" button for the Start Date will only be visible when there are no payslips generated for the relevant employee.

If payslips have already been generated, you must delete them before the option to edit the start date becomes available. As a precaution, it is recommended to save offline copies of the payslips in PDF format prior to deletion. Once the start date has been updated, you may re-generate the payslips if required.


How to Edit an Employee's End Date

Suppose you have offboarded an employee and later realise that the end date entered is incorrect. You can follow the steps below to update and correct the end date.

  1. Navigate to Employees > All Employees > key in the employee name and click the eye icon on the right side:

  2. Click on the Employment Details tab, and scroll down until you see Career History information:

  3. Click the edit button beside End Date shown as below:

  4. Key in the correct end date before clicking the save button:

  5. This is what it looks like when you click the save button:

Note: The "Edit" button for the End Date will only be visible when there are no payslips generated for the relevant employee.

If payslips have already been generated, you must delete them before the option to edit the end date becomes available. As a precaution, it is recommended to save offline copies of the payslips in PDF format before deletion. Once the end date has been updated, you may re-generate the payslips if required.

Note: Editing or entering the end date here should only be done if a mistake occurred in the resignation date after the offboarding process. If the employee is leaving the company or resigning, the admin should proceed with the offboarding by following the guide here.
